What personal data do we process?

Depending on how you communicate with AMELA or use our website, we may process the following categories of personal data:

  • name;
  • email address;
  • telephone number;
  • job title and organisation;
  • the subject and content of your message or enquiry;
  • business correspondence;
  • technical data required for the security and operation of our website, such as server and log data.

We do not request special categories of personal data through our contact form. We also ask you not to include such information in the free-text field unless it is necessary for your enquiry.

What are our legal bases for processing?

Where processing is based on consent, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

Contact form

When you use our contact form, we process the information you provide in order to handle and respond to your enquiry.

Information submitted through the contact form is not used for unrelated marketing purposes unless a separate valid legal basis exists.

When submitting the form, we ask you to confirm that you have read this privacy statement.

Who do we share personal data with?

We do not sell your personal data. We only share personal data where this is necessary for our services, business operations or legal obligations.

We may use carefully selected service providers that process personal data on our behalf, such as hosting, email, IT management and other business technology providers.

For email and business communication, we use services including Microsoft 365. Where a supplier processes personal data on behalf of AMELA, we put appropriate data protection and security arrangements in place where required.

Processing outside the European Economic Area

When using certain international IT service providers, personal data may in some circumstances be processed or accessed outside the European Economic Area.

Where this occurs, we ensure that there is a valid legal basis and appropriate safeguards, such as an adequacy decision by the European Commission or approved Standard Contractual Clauses.

How long do we retain personal data?

We do not retain personal data for longer than necessary for the purposes for which it was collected, unless a statutory retention requirement or legitimate interest requires a longer period.

  • contact enquiries are retained for as long as reasonably necessary to deal with the enquiry and any subsequent communication;
  • information that becomes part of a customer, project or financial administration is retained in accordance with applicable statutory and business retention requirements;
  • technical log and security data is retained only for as long as necessary for security, investigation and management purposes.

Specific retention periods are periodically reviewed as part of our internal data and information-security processes.

How do we protect personal data?

AMELA implements appropriate technical and organisational measures to protect personal data against loss, unauthorised access, unwanted alteration, destruction and unauthorised disclosure.

In the design of our information security management, we follow the principles and guidelines of ISO/IEC 27001. Information security risks are systematically identified, assessed and managed.

We periodically review our security measures and update them where necessary in response to risks, technological developments and applicable laws and regulations.

Our website may use technically necessary cookies or similar technologies to ensure that the website operates correctly and securely.

If we use analytics, preference or marketing cookies for which consent is required, we will provide separate information and request prior consent where required by law.

Automated decision-making

AMELA does not use personal data received through the contact form for solely automated decision-making that produces legal effects or otherwise significantly affects you.
